Approval of Agenda for 01/17/10 meeting

Treasurers Report
Jason reported that he was able to meet with John Shuler and obtain access to the account. Jason will transfer the account to a new bank, ideally one that will give $50.00 for being a new customer. The balance of the account is approx $676.42. There were outstanding questions on which portion of the account had been designated for specific purposes, such as Luna Lake.

Website
Brian reported the HESNA.org website has been redesigned; he requested that board members review the new site. Brian encouraged board members to create and share content for any information they would like to see added to the site. There was discussion of adding a bulletin board, Brian advised the old site had a bulletin board and that the usage was very low. The group decided not to have Brian add a bulletin board based on this information regarding prior experience. Jason advised he will create a PayPal account so that members can pay annual dues on the website. Brian advised HESNA also has a Twitter feed and a Facebook page. If board members become friends on the Facebook page, Brian will add them as administrators.

Thank You Letters to Prior Board Members
Rachel created custom letters to prior board members. These letters were reviewed and signed by all board members present. Members of the group expressed thanks to Rachel for completing this task.

Luna Lake Update
Rachel indicated that she would like to increase participation in the Luna Lake Hoedown on June 26th. In this vein, there will be a fund raiser for the Hoedown at Frenchie’s on Thursday February 25th from 8-11. Entertainment will include a D.J. as well as local music sensation Black Jake and the Carnies. The Fundraiser is in preparation for the 2nd Annual Luna Lake Hoedown, which will be on June 26th. It’s a day of music (three bands, including Black Jake and Hullaballoo, plus as many amateur acts as we can rustle), food (potluck picnic and possibly a pie bake off or something of that nature), work (weeding and spreading mulch at Luna Lake) and educational activities (native plants education aimed at the elementary school crowd). The idea is to create a multi-neighborood community gathering that gets people into the park and builds support for volunteer-powered projects at Prospect Park. Please get in touch with Rachel if you’d like to help with the Hoedown.

Bottle Drive / Fund Raising
Christine advised that we will put the bottle-drive fund raiser on hold until we have a clear use for donations.

Special Meeting Regarding Street Repair of East and West Cross Street
Pete Murdock was present to facilitate scheduling of a meeting where city engineers, the DDA and HESNA members could review proposed options for upcoming repairs to Cross Street including on-street parking and bike lanes. After much calendar consulting it was determined the meeting would be Wednesday, February 24th at Hutchinson house starting at 6:30, thanks in advance to Mary Delcamp for arranging the use of Hutchinson House. This is the day before the Luna Lake fundraiser. Lawn signs and hand-delivered news letters will be used to promote the February 24th meeting. Additional agenda items for this meeting will be:


  • Police report (need to invite police to give report)
  • Promote Luna Lake fundraiser
  • Announce spring general meeting April 18th at 5:00
  • Encourage enrollment in HESNA

Newsletter
The newsletter will be a 1 page, 1 sided flyer to announce the 2/24 Cross Street repair meeting as well as the 2/25 Luna Lake fund raiser, and perhaps a ‘save the date’ for the 4/18/10 general meeting. Rachel will provide content on the fund raiser. Grace will provide content on Christmas light displays in the neighborhood. Christine will create the newsletter by 2/15/10. Brian will print the newsletter for hand delivery prior to the 2/25 meeting.

Notice of Agenda
Grace requested that the board of directors receive the agenda for monthly meetings one week in advance. Brian agreed to email agenda to board members. Rachel suggested combining a meeting reminder email with the agenda for the upcoming meeting.

T-shirts
Grace brought an example of a HESNA T-shirt for the group to admire. All agreed that T-shirts were a great idea. There was discussion regarding whether to use an old design, our current logo (Gilbert House tower), or a new design. Grace has investigated printing at VGKids, their rate for two color printing is $7.19 per shirt for 20 shirts. Brian suggested investigating other local printers as well, Grace agreed to investigate pricing further.

CoPAC Representative
The Board nominated and approved Mary Delcamp as the HESNA representative for CoPAC. The group approved Grace as the alternate representative. Brian advised representatives have to take a class or agree to take a class with the police in the future. Mary indicated she is willing to agree to take the class. Brian will email CoPAC members to advise that Mary is the new representative and ask for information regarding the next meeting.

Benefits of Being a Member
Jason and Christine will research websites of other neighborhood associations for ideas. Group agreed we would need sufficient content for a small card; this card could be distributed to new neighbors via the welcome wagon.

HESNA Membership Data
There was a question regarding who maintains the list of current members. It was advised that traditionally this information has been kept by the Treasurer. Grace indicated that membership information would be particularly useful, enabling her to target non-member households for new enrollment. The group agreed that we need a way to track members and their dues status. The board also agreed that all current members are understood to have dues paid until September, 2010, as many new members joined at the September meeting when elections were held. Jason advised he will make the membership list available through googledocs, he will allow board members only to access this document. There was also discussion regarding making membership information public. The group agreed that we could not do this without member approval. It was suggested that the membership enrollment coupon be updated to include a question about whether a member wants their information published.
